30 Trados Studio Shortcuts That Will Transform Your Translation Speed

In translation, speed and quality aren't opposing forces: they're complementary. The faster you can navigate your CAT tool, the more cognitive bandwidth you have for the actual craft of translation: choosing the right word, calibrating the tone, ensuring cultural resonance.

I've been working in Trados Studio for eight years, first as a freelance Turkish translator and now as a senior linguist at El Turco. Here are the shortcuts that genuinely changed my daily productivity.

The Essential Five (If You Learn Nothing Else)

These five shortcuts form the backbone of efficient Trados operation. If you're currently using your mouse to perform any of these actions, you're losing 30-45 minutes per day.

1. Ctrl+Enter: Confirm and Move to Next Segment

This is the single most-used shortcut in any translator's workflow. Confirm your current segment and automatically advance to the next one. No mouse clicking, no scrolling.

2. Ctrl+L: Copy Source to Target

When a segment doesn't need translation (proper nouns, code strings, numbers), copy the source directly. Particularly useful for Turkish localization where brand names and technical identifiers should remain in English.

3. Ctrl+T: Insert TM Match

When the translation memory offers a match, this shortcut inserts it directly. Combined with a quick review and adjustment, this turns a 100% match into a confirmed segment in under 3 seconds.

4. Alt+Insert: Add Term to Termbase

Spotted a term that should be in your glossary? Add it immediately without leaving your translation view. This seemingly small habit compounds over time: after a month of consistent term additions, your termbase becomes a comprehensive resource.

5. F3: Toggle Between Source and Target

Switch your cursor focus between the source and target segments. Essential for reference checking and partial copying.

Navigation Shortcuts

6. Ctrl+G: Go to Segment Number

For long documents, jumping directly to a specific segment number saves significant scrolling time.

7. Ctrl+F: Find/Replace in Target

The standard find function, but specifically within target text. Use it to ensure terminology consistency across your document.

8. Ctrl+H: Find and Replace

Bulk-update a term throughout your document. When the client changes their preferred terminology mid-project (it happens more than you'd think), this is your rescue tool.

9. Ctrl+Shift+F: Advanced Find

Search across entire project files, not just the current document. Critical for multi-file projects where consistency matters.

10. Ctrl+Up/Down Arrow: Navigate Between Segments

Move through segments without confirming. Useful when you're reviewing rather than translating.

Formatting and Tag Management

11. Ctrl+B / Ctrl+I / Ctrl+U: Bold, Italic, Underline

Apply formatting directly without touching formatting menus.

12. Ctrl+Comma: Insert Next Tag

Tags are the bane of translator efficiency. This shortcut inserts the next expected tag from the source, maintaining formatting integrity without manual tag placement.

13. Ctrl+Shift+Comma: Insert All Tags

For segments where tag placement mirrors the source structure, insert all tags at once and then adjust positions as needed.

14. Ctrl+Alt+V: Paste Without Formatting

Paste text without bringing along unwanted formatting from external sources.

Quality Assurance Shortcuts

15. F7: Run Spell Check

Quick spell check on the current segment. Run it habitually.

16. F8: Run QA Check

Trigger the full QA verification module. Do this regularly during translation, not just at the end.

17. Ctrl+Shift+Q: Quick QA

A lighter QA check that runs faster, good for spot-checking during active translation.

Productivity Power Moves

18. Ctrl+Shift+Enter: Confirm and Copy Source to Next

For sections with repetitive content structures, this confirms the current segment and pre-loads the next segment's source into the target, giving you a starting point to modify.

19. Alt+Shift+F9: AutoPropagate

When you translate a repeated segment, this automatically applies your translation to all identical segments in the project. A massive time saver for content with structural repetition.

20. Ctrl+Shift+L: Lock Segment

Lock a confirmed segment to prevent accidental edits. Particularly useful in review workflows.

21-25: Concordance and Reference

  • F9: Concordance search (search your TM for a specific term or phrase)
  • Ctrl+F9: Search term in termbase
  • Ctrl+Shift+F9: Search in AutoSuggest dictionaries
  • Alt+F9: Machine translation lookup
  • Ctrl+Alt+F9: Fragment matching in TM

26-30: View and Display

  • Ctrl+Shift+H: Toggle display filter
  • Ctrl+D: Show document structure
  • Ctrl+Shift+P: Preview document
  • Alt+Enter: Show segment properties
  • Ctrl+M: Toggle comments panel

Building Muscle Memory

Knowing shortcuts intellectually and using them instinctively are very different things. My recommendation for building muscle memory:

Week 1: Force yourself to use only the Essential Five. Put a sticky note on your monitor. Every time you reach for the mouse for one of these actions, stop and use the shortcut instead.

Week 2: Add the Navigation shortcuts. Your mouse usage should drop noticeably.

Week 3: Incorporate Formatting and QA shortcuts.

Week 4: Practice the Productivity Power Moves on a non-critical project.

By the end of the month, your hands will move automatically. Your translation speed won't just increase: your fatigue will decrease because you're making fewer context-switching decisions throughout the day.

A Note on Customisation

Trados allows full shortcut customisation via Tools → Options → Keyboard Shortcuts. If any of the default bindings feel unnatural, change them. The best shortcut is the one your fingers find without thinking.
